Reports To: Head of Division
Contract Type: Permanent and Pensionable
Work Hours: 8 Hours per Day

Job Purpose

To provide efficient secretarial services and administrative support to the Head of Department, ensuring smooth day-to-day operations within the division.

Key Responsibilities

  • Typing and processing documents, correspondences, and reports.
  • Managing the Head of Department’s schedule and appointments.
  • Receiving and handling telephone calls and visitors professionally.
  • Organizing and maintaining office records and files.
  • Coordinating internal and external meetings.
  • Handling confidential information with discretion.
  • Performing other office support duties as required.

Qualifications and Requirements

  • Diploma in Secretarial Studies from a recognized institution with at least an Upper Second Class grade.
  • Certificate of Secondary Education (Form IV) with passes in English and Kiswahili.
  • Proficiency in:
    • Shorthand (Hatimkato): 100 wpm

    • Typing speed: 50 wpm

  • Must be a recent graduate with not more than three (3) years of relevant post-qualification experience.

    6. Foreign academic certificates must be verified by NECTA (for Form IV & VI) and TCU (for university qualifications).
